Beginning Balances
When you first introduce this feature into your existing business, you will need to let Quantrac 2005 know each
current employees vacation accrual. This can be done one of several ways. It would be wise to record vacation
history consistently for all employees.
1.
Beginning Balance via Lump Sum: This is the simplest way to bring old history into the new system. The
user enters all vacation days taken (from your manual vacation recording system) in one lump sum.
Simply make a single new vacation entry with todays date being the date of record. Then, enter the one
day of information. In the Days column, replace the 1 with the actual number of days taken from
your manual system. Add the Selected Vacation Day(s). Quantrac 2005 will have calculated all
vacation accrued for each employee, the remainder is equal to the number of days the employee has
accrued but not taken. .

Beginning Balance via Year: To use this method, you must record each years vacation into the system,
one-by-one. For instance, for an employee that was hired in 1985, you must separately record each
years vacation through todays date. You can add individual vacation days/weeks taken; or do a lump
sum for each year.
Reporting
All vacation records are available within just a couple of mouse clicks. In addition, an Employee Vacation Summary
Log report is available for preview or printing.
Security
For security reasons, vacation records cannot be altered once theyve been entered into the system. They may be
deleted with appropriate system security permissions. The vacation notes may also be edited. See Security, User
Security for specific permissions.
Finally, employees vacation days accrued but not taken are available from each employees personnel form for quick
and easy reporting to the employee. Simply click the Personnel toolbar button and then double-click on the desired
employee. The vacation earned but not yet taken will appear in the field beside the Vacation Calc button. The button
can be used to navigate directly to that employees data for entering new vacation days.
