Seasonal Maintenance Contract Agreements
This is a typical residential Seasonal Spring and Fall (twice per year) maintenance contract for a customer’s jobsite,
which has two equipment zones.  
To move an equipment zone from “Under Seasonal Contract” to “NOT Under Seasonal Contract” box and/or back, either
double-click on the zone name or click on the appropriate button below the windows. 
To create the seasonal contract calls that are to be serviced during the upcoming season, select Utilities|Create
Seasonal Contract Calls from the Menu bar.  This form will be presented.
1.  Select the season, which you
wish to create the preventive
maintenance calls.  For
instance, you may wish to
create the Fall calls in late
September so that you can
begin scheduling them with
your customers.

Click the Create Calls
button.

Follow the on-screen
instructions on each form.  
After completion, all calls that were created will reside in Unscheduled Calls to be scheduled with your contract
customers.
When the system creates the seasonal call for this, the contract information, the zones under contract, and the return
air filters quantity/description will be pre-entered in the service call’s ‘Symptom’ field.
Any notes in the Contract Notes will be in the service call’s ‘Notes’ field.
Enter the Begin date, the
system will calculate end
dates for a one year term.
Select the number of calls
per year (1 – 4)
Enter your Contract
Number if applicable
Enter your contract fee
for future reference.
Select the seasons and the
year(s) (i.e. Fall of ’03 and
Spring ’04 in this example 
for a twice per year
contract). 
Enter any text here that
you want to appear in the
resulting service call
notes field.
In this example, the only calls
that will be created are the 138
calls scheduled for Fall of this
year.  Some HVAC dealers have
in excess of 2,000 Seasonal
calls that will be created for
any given season.  The goal of
the call scheduling personnel is
to contact each customer and
schedule each call as efficiently
as possible before the end of the
season.
