Part 6 Other Features and Functions
Invoice Items are organized by Category and Subcategory. The data in the large lower window includes each item that
your company can itemize in an Invoice. With each new shipment of HVAC Office, we have included over 900 items
that a typical HVAC company might sell. Included are generic parts, many manufacturers O.E.M. parts,
miscellaneous items such as crane services, labor charges, etc. You may add to the list or delete items as you wish.
You may change Price, Cost, Description, Vendor, etc. at any time to customize the list to your companys
desire. During your companys operation, you will probably be adding or editing Items regularly. Eventually, your list
of items will be completely custom, different from every other HVAC office.

Step Two: Create Your Flat Rate Pricing
This step establishes the heart of your Flat Rate Pricing. Of course, you will need a good working knowledge of
central heating and air condition service at this point. In order to establish a simple flat rated repair, you must know
the parts, materials, and your technicians average time to complete the repair.
From the Menu Bar, click Setup|Custom Flat Rate Pricing. The following form will appear:
In this example, the selected category is Condenser Motor Replacement (upper-left hand corner of the form). The
sort field organizes your categories, as you desire. You may use any number between .01 and 9999. The items are
sorted by these numbers in this form and in your Flat Rate Price Book. This allows you to organize your pricing books
any way you wish. It also allows printing of Seasonal price books, with the most-used repairs near the front.
The upper right-hand section of the form contains a list of the Repairs. Notice that the displayed list contains only
condenser motor replacements. If the Compressor Replacement category were chosen in the upper left-hand section,
the upper right-hand section will list only compressor replacement repairs.
