Direct Mail Module
This feature is included with Quantrac 2005 Professional. It is an available option for Quantrac 2005 SLite, Lite, and
Standard.
Note: This feature utilizes Microsofts Word 2000. You must have this program if you wish to create
direct mail since it uses Office97 Mail Merge functionality. Previous versions of Word will not work with this
version of Quantrac 2005 Direct Mail.
This is an advanced feature of Quantrac 2005. It uses interconnectivity between the database engine, Access, and
Microsoft Offices Word 2000 and later versions of the program. Although the user interface included in this
feature simplifies the procedures, the underlying operations are quite complicated. A good working knowledge of
Windows file structure and Word 2000 may be required. Casual usage is quite easy, though, due to the user
interface included in Quantrac 2005.
Quantrac 2005 can be used as a fully integrated sales tool; to help generate new sales, promote value-added
products, and retain existing customers. We have created Direct Mail functionality to fill this need. You can utilize
Direct Mail for many uses:
Promote the sale of Extended Warranty Protection Plans after the initial sale of equipment
Offer value-added features to existing customer such as air cleaners, humidifiers, etc.
Newsletter (containing editorial and promotional data) to all of your customers
Promote seasonal clean and check preventive maintenance calls to qualified customers
Follow-up promotions where your company previously recommended equipment replacement
Thank You letters for Sales Leads appointments
Thank You letters to high-dollar-volume customers
Re-introductory letters to customers that you have not serviced lately
Thank You letters to customers that you have serviced recently
These are just a few ideas where Direct Mail can help your business grow and profit.
System Requirements:
In order for the Direct Mail to function properly, you will need the following:
1.
Quantrac 2005 with the Direct Mail function turned ON (Direct Mail is included with Quantrac 2005
Professional)

Microsoft Word 2000 (This full-featured word processing program is included with Office97, which is included
with most new computer system purchases)
3.
Pentium 266 or faster computer with at least 64 MB of RAM memory. (128MB 256MB is preferred, since
direct mail utilizes demanding features of at least two Microsoft Office programs, simultaneously)
Creating Direct Mail
Creation of selective mass mailing using Quantrac 2005 Direct Mail is a simple three-step process. It does,
however, fully utilize the power of your desktop computer. Because of the hardware requirements, we recommend
that the creation of mass mailing documents be done after normal working hours, so that your normal daily
operation is not affected by the letter production. In addition, we recommend that the production of the letters be
accomplished on the Quantrac server computer, to minimize delays in response and actions that may be introduced
by your computer systems Local Area Network.
Step One: Creation of the document to be used in the selective mass mailing
Using Word 2000, compose the body text of the document that will become the direct mail. This document should
be only the body text. In other words, do not compose the document as a letter, with the Date, Salutation, Closing,
etc. The Direct Mail function will place the letter formalities onto each letter, using the customers, addresses,
salutations, etc. Your text should include ONLY the body of the finished letter. Be sure to select your desired
typeface, type size, etc. Format your letter in paragraphs or exactly as you would wish the final document to
appear.
