Part 4 – System Administration
case of main drive failure, you will be able to copy the latest saved database to the new main disk drive (once it has
been loaded with Windows and HVAC Office).  With little or no database loss, you will again be fully operational.
Scenario #2 (Multiple Workstation Office)
If you have multiple computers on a local area network in your office (i.e. Server and one or more workstations) you
can backup your operational database to any one or more computers on the network.  For instance, via your network,
you can copy the file (Hvac01.dat) to a folder on any computer’s disk drive.  The directory tree in the graphic, above,
will indicate network drives as well as local computer drives.  Simply select the network drive (physical hard disk
drive on another computer on the network) and Save the Hvac01.bak file on that drive.
Note:  Network drives must be shared on the remote computer and “Mapped” on the server computer to be listed in
the directory tree.  This simple process is described in your Windows documentation.  Or, call Quantrac Corporation
for technical support.
Scenario #3 (Backup to Floppy Drive):
You can, of course, backup your data file to a floppy diskette.  This is an excellent method of creating an Off-site
storage of your data.
Click the “Backup Data to Floppy Drive” button on the Database Maintenance form will lead you through the steps.
You must have one or more floppy diskettes ready for backup.  When you choose this function, the system
compresses your data into a “zip” file (Hvacbak.zip) and places it onto the diskette in your floppy drive (A:).   As you
use HVAC Office, your database will grow, utilizing more disk drive space.  The compressed (Hvacbak.zip) will
contain an uncompressed database file of approximately 3MB before requiring two diskettes.  Each 3MB in
operational database size will result in an additional floppy diskette requirement.
Restore Data from Floppy Drive:
This function was created to provide an off-site copy of your main data file (Hvac01.dat).
If the need ever arises, (to restore your database from your floppy disk backup) please follow these steps:
1.
Start Database Maintenance
2.
Backup your existing HVAC01.dat file using “Database Backup to Hard Drive”.  (this step ensures recovery
should the system have trouble restoring from Floppies)  Copy the data file to a temporary folder on your hard
drive.
3.
Restore your database from floppy diskettes using “Restore Data from Floppy Drive”.  The on-screen prompts
will guide you through the process.
a.
If all of your data is on one diskette, insert that diskette into drive A or B.  If your data is on multiple diskettes, insert the last
diskette of the backup set into drive A or B.
b.
Select Restore Database From Diskette A or Diskette B.
c.
Click the OK button.
d.
The program will prompt you to insert additional diskettes, if necessary.
4.
After completion, close Database Maintenance and start HVAC Office.
5.
If problems occur during the restoration process, or if HVAC Office will not run on the restored database, you
will have saved a copy of the operation database in step 2 above.
If you need any help with this process, don’t hesitate calling us at Quantrac Corporation.
Other Database Backup Options:
The functions included in Database Maintenance are very easy to learn and use.  They are not, however, the only
methods of backing up your data.  Here are a few other methods that are available:
