Welcome to Quantrac HVAC Office R-11.0
Quantrac is a relational database real-time office management system created
specifically for heating and air conditioning contractors/dealers. It was originally created by the
owners of an air conditioning and heating contractor/dealership. With software programming
professionals and input from our many users, the program has been in operation and
continued development since 1991. With every new release, new features, improvements, and
enhancements have been developed and added to help your business serve your customers
better.
Numerous enhancements and new features make this the best HVAC Office ever. Use the
schedulers to efficiently manage all of your service calls and installations. With the employee
hours report, let Quantrac compute your employees paid and unpaid hours. Record and
report Customer Satisfaction questionaires. Use templates to create sales quotes and job
costs. Create, process and maintain your recurring preventive maintenance contracts calls,
as well as your seasonal contract calls. Schedule one-time and annual service calls. Use the
optional Accounts Receivable and Callahan/Roach interface modules to manage your
accounting and flat-rate pricing functions. Eliminate phone minder slips and other paper/vocal
communications between employees with new and improved Inter-Office E-mail messaging.
Schedule and track company vehicle maintenance using the optional Vehicle Maintenance
function. Track and inventory company tools with the Company tools optional module. Create
batch mailing to selected customers or groups of customers. Create Purchase Orders,
receiving forms, and track both serialized (equipment) and Parts inventory. This manual
describes the setup and operation of each function.

extended warranties and invoices, while virtually eliminating the need for paperwork. Its
extensive reporting capabilities allow you to analyze the performance of your company and its
employees, generate mailings to your customers, and provide information required by
government agencies. The system also has many other features, such as contemporaneous
diary (to comply with Internal Revenue Service company vehicle requirements), refrigerant
record-keeping (to comply with Environmental Protection Agency regulations), invoicing,
company tool allocations and assignments, and telephone address book/Personal Information
Manager.

your data, and simple, direct ways to view and work with your information. In fact, we have
found through our experience that most users can be productive on the system within just a
few hours. Your customers maintenance history is always on file at your office and is available
in a matter of seconds. When customers call for service, you already know everything about
their HVAC equipment, service history, contracts, and other invaluable information, and will be
able to enter a new service call in seconds!
